This guide walks through the QuickBooks Online (QBO) export process in Garde. For general export concepts like statuses, modes, and filtering, check out the Export Overview.

Connecting to QuickBooks Online

To get started, go to Settings > Connected Data (or Setup > Integrations) and select your QuickBooks Online connection.

Configuring Your Export Settings

You’ll see dropdown menus that control how Garde syncs with QBO. These settings can be configured separately for Orders (invoices), Sales Entries (daily sales journals), and Inventory Entries (inventory adjustments). Click any dropdown to pick your preferred sync option:
  • Automatically — Garde exports data to QBO as soon as an invoice is processed, a balanced sales entry arrives, or you post an inventory adjustment.
  • Only Manually Selected — Transactions land on your export page, but nothing goes to QBO until you select and send them yourself. Your Garde reports still update right away.
  • Pause Temporarily — Stops all exports to QBO until you choose a different option.

Exporting Manually

Go to Accounting > Export. You’ll see everything that’s ready to send to QBO. The list shows items within your current accounting period by default. Change the date range with the selector at the top if you need to look further back. If invoices are still being processed or items in error status exist outside your selected date range, a notification appears at the top of the page.

Sending Items to QBO

  1. Select the checkbox next to any invoices or journal entries you want to export. You can pick them individually or grab a batch.
  2. Click the Send button.
The status changes to Sent in Garde. And your data appears in QuickBooks Online.

Skipping Items

Don’t want something exported? Select the items and click Other Actions > Skip. The data stays in Garde but clears from your export screen.

Automatic Mode

In automatic mode, invoices, payments, sales entries, and inventory adjustments flow to QBO as soon as they’re ready. No clicking required. Your export screen still shows everything that was sent, plus any items that failed due to missing mappings or errors. So you’ll always know if something needs attention.

Resolving Export Issues

When an item shows Needs Attention, it means a mapping is missing. Common culprits: Click the error message on any item to see exactly what’s missing. For more help with errors, see:
