Getting your sales and expense data from Garde into your accounting system is straightforward. Garde integrates with QuickBooks Online (QBO) and QuickBooks Desktop (QBD), and once you’re set up, the export process mostly runs itself. Here are a few things that’ll keep everything running smoothly:
  • Upload expenses through Garde rather than entering them manually in your accounting system. This keeps your data consistent across both platforms.
  • Set up and map your Payment Accounts. Unmapped payment accounts are one of the most common causes of export errors.
  • Keep an eye on the Weekly Accounting Email. It arrives each Monday and flags any outstanding issues or errors worth addressing.
  • Don’t forget Sales and Inventory Adjustments. Both can be exported to your accounting system too.
  • Start in manual mode. When you’re first getting comfortable with Garde, keep the export mode set to manual. Once you trust how the data looks, switch to automatic.

Configuration Settings

Before exporting invoices, sales entries, or inventory adjustments, you’ll want to check how your accounting integration is configured. Head to Accounting > Setup > Integrations and select Edit Configuration. You’ll see dropdown menus that control how Garde syncs with your accounting system. These settings can be configured separately for Orders (invoices), Sales Entries (daily sales journals), and Inventory Entries (inventory adjustments). Click any dropdown to choose your preferred sync option:
  • Automatically — As soon as the data is ready, Garde will sync with your accounting system and export it right away.
  • Only Manually Selected — Transactions show up on your export page, but nothing moves to your accounting system until you manually select and send them. Your Garde reports still update immediately.
  • Pause Temporarily — Nothing exports to your accounting system until you pick a different option. Transactions still appear on the export page; they just won’t go anywhere.

Export Screen Statuses

Each item on your export screen has a status that tells you where it stands. Ready — Good to go. This item is ready to export to your accounting system. Pending — Sent to your accounting system but not yet confirmed. Refreshing your browser usually updates this to Sent. Sent — Successfully exported to your accounting system. You’re all set. Needs Attention — Something is missing before this item can export. It could be a vendor mapping, category mapping, sales line mapping, payment account mapping, or inventory account mapping. Click on the error message to see exactly what needs fixing. Error — The export failed. Click the red Error text to see the error message. Daily sales journals that aren’t balanced will automatically land in error status with the message “total debits do not equal total credits.” If you’re stuck, email contact@garde.app and the team will help. Skipped — This item won’t be exported. Skipped items are hidden from your export screen by default, but you can view them by adjusting the filter settings.

Filtering Your Export View

By default, the export screen shows items in Ready, Pending, Needs Attention, or Error status. Click the filter button to adjust what’s included or excluded.

Exporting in Manual Mode

All restaurant units in Garde start in manual mode. To export, go to Accounting > Sales Journals (for sales entries) or Accounting > Delivery Journals (for delivery entries) to see everything that’s ready. The list defaults to items within your current accounting period. You can change the date range using the selector at the top. If there are invoices still being processed or items in error status outside your selected date range, you’ll see a notification at the top of the page.

How to Send Items Manually

Select the checkbox next to any invoices or journal entries you want to export. You can pick them one at a time or select a batch. Then click the blue Send button. The status will change to Sent in Garde. And the data will show up in your accounting system.

Exporting in Automatic Mode

In automatic mode, invoices, payments, sales entries, and inventory adjustments export as soon as they’re closed and ready. No manual selection needed. The export screen still tracks everything that was sent. Any items that fail because of missing mappings or errors will show up there too, so you won’t miss anything. For Sales Entries specifically, you have the option to delay the export by a set number of days. This is helpful if your closing sales numbers sometimes take a day or two to finalize.

Skipping Items

If you don’t want to send something to your accounting system, select the items and click Other Actions > Skip. The data stays in Garde but clears from your export screen.
