Garde lets you add multiple count-by units to your food and beverage products. That way, when your team takes inventory, they can count in whatever unit makes sense for where they’re standing. A practical example: Say you stock olive oil. On the cooking line, you’ve got a few open bottles, so counting by the bottle is easiest. Back in dry storage, you’ve got sealed cases stacked on a shelf — counting by the case is way faster there. With multiple count-bys, your team just enters what they see, and Garde handles the conversion math. Same idea works for proteins (count chicken by the pound on the line, by the case in the walk-in), liquor (750 mL bottles and 1 L bottles of the same product), or anything else that shows up in different packaging across your operation. Below is a video overview and a step-by-step guide to get you set up.

How do I add a new count-by?

Step by Step

Count-bys are added from the Edit Products screen.
  1. Go to Products > View All Products, then select a product and click Edit Product.
  2. Scroll down to the section called “Units Counted on Inventory.” You’ll see your primary count-by (called Report-By) already listed.
  3. Click the “Add Inventory Units” button. A dialog box will pop up:
  4. Fill in the details for your new count-by:
    • “Name on Inventory” — This can be any nickname that helps your team count accurately. Call it whatever makes sense to them.
    • You can only add a count-by within the same unit of measure family as your primary count-by. So if your product is counted by the pound, you’ll see other weight-based options. If it’s counted by the fluid ounce, you’ll see volume-based options.
    • Multi-unit groups: You’ll see an option to “Restrict Count-by to this restaurant.” Check this if the count-by should only show up at the current location. Leave it unchecked to share it across all your units.
  5. Click Add Unit to confirm.
  6. Click Save.
  7. Your new count-by will now appear on your count sheets. That’s it.

Taking Inventory

Taking inventory works the same as usual — you just have more flexibility now. Here’s what a count sheet looks like with multiple count-bys on a product: Use both lines to record your counts. Garde does the conversion math for you.

How will this look on your reports?

When you close your inventory, Garde rolls everything up into your primary Report-By unit. Your Report-By is the count-by that’s already set up on the product. Here’s an example. This count sheet has 5 pounds of chicken counted by the pound, plus 5 cases of chicken (10 pounds per case): When you close the inventory, Garde calculates the total in the primary Report-By unit. In this case, that’s pounds — so the reports will show 55 pounds of chicken.
