Garde gives you several user roles so you can hand out exactly the right level of access to each person on your team. Below you’ll find a quick-reference table, detailed descriptions of every role, and a link to the full permissions spreadsheet.
Your team is responsible for adding, removing, and updating users. Garde support won’t make these changes for you. Keeping roles current protects your data and makes sure only the right people have access.

Primary Roles
User — This is your day-to-day role for in-store staff. Users can upload invoices, place orders, enter inventory counts, and view most operational info. They can’t add or edit products, recipes, or inventory setups.
Sous Chef — A step up from User, focused on recipe work. Sous Chefs can add, edit, delete, and upload pictures for recipes, but only within their own restaurant unit. If they’re not a Sous Chef in every unit of a multi-unit company, they can’t touch recipes flagged as “Global.” Any recipe they create is automatically restricted to their restaurant.
Manager — Managers get everything a User has, plus the ability to add or edit count sheets, close, reopen, and configure inventory, and add other Users or Managers. A solid fit for shift leads and assistant managers.
Franchisee Accountant — A hybrid of Manager and Accountant. You get the permissions of both, except with view-only access to parts of the accounting categories page and PMIX Mapping. Great for franchise operators who handle their own books.
Accountant — Accountants can view most operational info (products, recipes, inventory) and get full access to accounting screens like Export, Categories, Category Mapping, and Vendor Mapping.
Restaurant Admin — Full access to orders, performance, vendors, inventory, products, recipes, and setup. This role does not include accounting or labor features, so it’s ideal for general managers who don’t need financials.
Garde Admin — The keys to the kingdom. Full access to every part of Garde. Assign this one sparingly. Learn more about the Garde Admin role.
Add-On Roles
- PMIX Mapper — Gives a User, Sous Chef, Manager, or Franchisee Accountant permission to do PMIX mapping.
- Bill Pay User and Payment Approver — Optional roles tied to the Bill Pay feature (coming soon).
- Payroll Manager and Shift Approver — Required for anyone who isn’t a Garde Admin but needs access to Labor data in their restaurant.
- Billing Contact — Give this to anyone who needs to view or manage your Garde subscription details. It doesn’t grant any other permissions.
Combining Multiple Roles
A single user can hold more than one role. Here are some common combos:
- Manager + Sous Chef — Lets a manager create and edit recipes without bumping them up to a higher role.
- Accountant + Payroll Manager — Gives accounting staff access to Labor data without making them a Garde Admin.
- Restaurant Admin + Billing Contact — Adds subscription management to an already broad role.
When you stack roles, the highest permission wins. If you’re upgrading someone, remove their old role first and select only the highest role they need.
To select multiple roles: hold Ctrl (PC) or Command (Mac) while clicking.
Changing a User’s Permissions
You can give another user the same level of access you have, or something more restricted. Garde support won’t adjust permissions on your behalf, so either follow these steps or ask your Garde Admin to make the change.
