Sometimes a Vendor Item ends up linked to the wrong Product. It’s a quick fix — just a few clicks from the Product editing page.
Why does this happen? The most common scenario: two similar items from different vendors get auto-matched to the same Product when they shouldn’t be. For example, “Organic Baby Spinach 2lb” might get lumped in with “Spinach, Frozen Chopped” because they’re both spinach — but they’re clearly different products for your kitchen. It can also happen when a vendor changes a product’s name or packaging on their end, and the system matches it to something that looks similar but isn’t quite right.Catching these early is easy if you check the New Vendor Item Review regularly.

Step 1: Find the product

You can get to the Product editing page a couple of ways: Option A — From View All Products: Go to Products > View All Products in the left navigation. Use the search bar to find the product, click on it, then click “Edit Product.” Option B — From New Vendor Item Review: Go to Product > New Vendor Item Review and click the blue hyperlinked Product name. That opens the product for editing directly.

Step 2: Reassign the vendor item

Scroll down on the Edit Product page and you’ll see a list of Vendor Items linked to this Product. Find the one that doesn’t belong and click the blue “Reassign” link on the right side. (If they all need to move, use the “Reassign All” button.) A popup will ask whether you want to reassign to an Existing Product or a New Product. Reassigning to an existing product: Type the product name to search for it, select the right one, and enter a conversion between the Vendor Item’s packaging and the new Product’s count-by unit. Reassigning to a new product: Click “Reassign to a New Product” and follow the prompts to create one. (Need help? See How to Add Products in Garde.) Hit SAVE and the Vendor Item moves to its new home.

Cleaning up duplicate products

After you move a Vendor Item, you might be left with an empty Product that’s now a duplicate. When you finish the transfer, Garde takes you back to the Edit Product page for the original Product. If it’s no longer needed, click the “Delete” button in the bottom right corner. Can’t delete it? If the Product has ever been counted on inventory or used in a recipe, Garde won’t let you delete it. You have two options:
  • Rename the product to include something like “DO NOT USE” so your team knows to ignore it.
  • Email contact@garde.app and ask us to merge the old and new products. We’ll combine their historical counts and update any recipes and PMIX mappings.
