Purchase orders in Garde give you one place to create, track, and manage everything you order from your vendors. No more guessing what was ordered, when it was sent, or whether it actually showed up.
Creating a Purchase Order
- Head to Orders in Garde.
- Click Create Purchase Order.
- Pick the vendor you’re ordering from.
- Add items from your vendor’s product list or order guide.
- Set quantities for each item.
- Double-check the order total, then click Submit.
That’s it. Garde emails the order directly to your vendor.
Managing Purchase Orders
Tracking Status
Every purchase order has a status so you know exactly where things stand:
- Draft — Started but not yet submitted. You can still make changes.
- Submitted — Sent to the vendor via email.
- Received — Delivered and matched to an invoice.
Editing an Order
You can freely edit a purchase order while it’s still in Draft. Once it’s been submitted, you’ll need to reach out to your vendor directly for any changes.
Matching to Invoices
When a vendor invoice comes in, Garde helps you match it against the original purchase order. This is where things get really useful — you can quickly verify that you received what you ordered, at the price you expected.
Track expected vs. actual delivery. Get in the habit of comparing your purchase orders against what actually arrives. Garde makes this straightforward by letting you match POs to invoices. Over time, you’ll catch short shipments, price changes, and substitutions before they eat into your margins.
Tips for Using Purchase Orders
- Set up Order Guides for your go-to vendors so placing orders takes minutes, not half an hour.
- Review your order history regularly. Patterns in your purchasing can reveal opportunities to negotiate better pricing or consolidate deliveries.
- Use purchase orders alongside inventory to keep your stock levels in sync with what you’ve actually ordered.
