Before taking inventory, you’ll need your count sheets set up. If you haven’t done that yet, check out this article on setting up count sheets. IMPORTANT: Do not take inventory in Chrome’s Incognito mode!

Pre-Inventory Checklist

Before you start counting, run through this quick checklist:
  • All invoices uploaded — Make sure recent deliveries are entered in Garde so your inventory prices are current.
  • Count sheets finalized — Confirm your sheets include everything you need to count. Adding items mid-count is possible, but it’s smoother to have them ready beforehand.
  • Team knows who’s counting what — If you’re using multiple count sheets, assign each person their sheet. Remember, only one person per count sheet at a time.

Starting Your Count

To begin, click Inventory in the left navigation menu, then select Inventories from the dropdown. You’ll land on the Inventory By Date screen. Click +Enter a Count. You’ll see a dropdown listing all the count sheets you’ve created. Select the one you want to use. For this example, we’ll pick “Test Inventory.” Note: Only one person at a time can be in a particular count sheet taking inventory. But if you have multiple sheets (Food, Bar, etc.), different people can count on separate sheets simultaneously.

Setting the Date

Next, you’ll be prompted to enter a date. Getting this right matters — it ensures your inventory lines up with your sales data. Click anywhere in the box under “Inventory Date” to open the calendar dropdown. Select your date. The date represents the last day of business included in this inventory. For this example, we’re selecting 09/02/20. You’ll be taken to the Count page.

Entering Counts

On the count page, there are two ways to enter your numbers:
  1. Type the full count directly in the box.
OR
  1. Click the ”+” sign to add to an existing count.
If you use the ”+” method, you’ll see the “Add to existing Count” screen. Enter your numbers in the boxes and click Save. As you enter counts, line values are calculated automatically.

Saving and Closing

Once you’ve entered your counts, click Save to save your progress, or Save & Exit to save and return to the Inventories by Date page. On the Inventories by Date page, your new inventory shows up with a “Saved” status. That means it’s still in progress and hasn’t been closed yet. Note: All inventories need to be closed before Usage Report details are available. You can click on a saved inventory to resume counting at any time. Click the ”+” sign to expand and view everything in the inventory. Click Edit to go back to the count entry page and make changes. When you’re done, click Close. The inventory closes and you’ll be returned to the Inventory by Date screen. The Inventory by Date screen shows all your inventories with their current status.
