Before you can place an order, you need two things in place:
  1. The vendor must be configured for ordering so Garde knows where to send the email.
  2. Your order guide needs to be set up with the items you buy.
As long as your vendor accepts orders via email, you’re good to go. This article covers ordering from both the web app and the mobile app, plus how to make changes and resend if needed.

(1) Ordering through the Web App

Once your vendor is configured and your order guide is ready:
  1. Go to Orders > Place New Order in the navigation bar.
  1. Select the vendor from the dropdown. You’ll only see vendors that have been set up for ordering.
Pro tip: You can print this order guide if your team prefers to fill it in by hand and enter it into Garde later. There’s a “Print” button at the bottom. Need to tweak the order guide? Click “Order Guide Setup” in the top right corner.
You’ll see the order guide with Vendor Item name, the associated Product, the Item Code, the most recent purchase Price, and a small visual showing recent price changes.
  1. If there are packaging options, choose the right one from the dropdown.
  2. If you’ve set up Pars, they’ll auto-populate. Enter an On-hand count and Garde calculates the quantity for you. (For example, if your par is 5 and you enter 0 on hand, Garde suggests ordering 5. Note: this isn’t connected to inventory counts.)
  3. Scroll through and enter quantities for everything you need. The estimated total updates at the bottom as you go.
  1. Add any vendor notes at the bottom. You can also click “Preview” to see the order before sending.
  2. Click “Send” for a final review. You’ll see a summary of everything on the order.
  3. Confirm it looks right and click “Send” one more time.
Review your order total before hitting Send. Take 30 seconds to scan the quantities and estimated total. It’s a lot easier to catch a typo now than to call your vendor after the delivery truck has already left the warehouse.
What happens after you submit? Garde sends an email to your vendor with the full order details. The order immediately appears in your Orders history with a “Sent” status. Your vendor sees a clean, formatted email from no-reply@garde.app — no special software needed on their end.

(2) Ordering through the Mobile App

Once your vendor is configured and your order guide is ready, you can place orders right from your phone. (You can’t set up a vendor from the mobile app though — do that part from your computer.) 1. Go to the “More” menu and choose “Place an Order”. 2. Find and select your vendor.
  • Use the search bar to find any vendor by name. Sort alphabetically or by most recently used.
  • If there’s an order currently in progress for that vendor, it’ll show under their name. Tap to see who started it and when. You can edit it right from your phone.
  • Tap “Show vendors not set up” to see any vendors that still need to be configured from your computer.
  • If you have a commissary set up, it shows at the top of the list and works the same way.
3. Choose the vendor. You’ll see any sections you’ve set up, which can be expanded or collapsed. 4. Build your order. Don’t worry — Garde saves your work if you lose internet.
  • Use the search box to find items by vendor item name, product name, or item code.
  • Tap to see and select packaging options.
  • Enter on-hand values if you have them.
  • Input quantities.
  • Your estimated total appears at the bottom.
  • Tap “More” to delete the order or save it and come back later.
  • When you’re done, tap “Review Order”.
5. Review and send.
  • Use the “Add Note” box for any special instructions (it auto-saves).
  • For commissary orders, you can pick a delivery date.
  • Do one last check on quantities before tapping “Send order”.
  • You’ll see a confirmation that it was sent.

Mobile Tips

  • You can start and save multiple orders, plus open, view, and edit past orders from your phone.
  • Need to reorder the same stuff? Tap “Order Again” and adjust as needed. (The previous order’s invoice must be uploaded and closed before this option appears.)
  • If you hit “Send” without an internet connection, Garde will notify you when it uploads successfully — or let you know if it fails.

Need to Make Changes to a Sent Order?

If you need to adjust an order you already placed, you can edit it and resend.
  • From the web app: Go to the Orders page, find the order (it’ll be in “Sent” status), and click to open it.
  • From the mobile app: Tap “More,” then “Place an Order.” Toggle from the “Vendor List” to the “Recent Order” list and select the order.
Make your edits and click “Resend”. Heads up: Resending generates a second email to your vendor. Reach out to them directly and let them know the most recent email has the correct order. Garde will also show you a warning about this:
